Internal Audit Collective Record Retention Policy for Training Courses
This policy outlines the record retention guidelines specific to training courses conducted by the Internal Audit Collective. This policy aims to ensure compliance with legal and regulatory requirements, facilitate efficient access to training materials, and manage records effectively.
Purpose
The purpose of this policy is to establish and maintain consistent procedures for the creation, retention, maintenance, and destruction of records related to the Internal Audit Collective's training courses.
Scope
This policy applies to all records created, received, and maintained by the Internal Audit Collective regarding training courses, regardless of format (electronic or physical).
Record Retention
All records related to the Internal Audit Collective's training courses will be retained for a minimum of 5 years. This includes, but is not limited to, the following categories of records:
- Dates and locations of all trainings
- Author/Instructor, author/developer and content reviewer, as applicable, names and credentials.
- For the CPA and tax attorney acting as an author/instructor, author/developer, and content reviewer for accounting, auditing, or tax program(s), the state of licensure, license number, and status of license should be maintained.
- For the enrolled agent acting in such capacity for tax program(s), information regarding the enrolled agent number should be maintained.
- Training course materials (syllabi, handouts, presentations)
- Attendance records (quizzes, exams, evaluations)

- Participant feedback forms
- Instructor notes and feedback
- Certificates of completion
- Course registration details
- Number of CPE Credits earned by participants.
Record Disposal
After the minimum retention period of 5 years, records may be disposed of in a secure and confidential manner. Electronic records should be securely deleted, and physical records should be shredded or destroyed by a professional document destruction service.
Responsibility
The Internal Audit Collective is responsible for the implementation and enforcement of this policy. This includes ensuring that all members involved in training course administration and delivery are aware of and adhere to the guidelines outlined in this document.

This policy will be reviewed and updated as necessary to ensure compliance with changes in legal and regulatory requirements, and to reflect best practices in record management for training courses.
